The American Hospital Association (AHA) is a national organization that represents and serves all types of hospitals, health care networks, and their patients and communities. We are currently seeking an Executive Assistant for the Sr.VP/Chief Nursing Officer, American Organization of Nurse Executives (AONE) located in our downtown Chicago office.

Maintains SVP’s & Chief Nursing Officers (CNO) complex calendar on a daily basis, schedules and confirms appointments, meetings and conference calls.
Handles logistics for meetings that are located onsite or offsite that includes, but is not limited to arrange for meeting rooms or facilities, audio visual, food and beverage and registration.
Plans, organizes and coordinates various activities related to the CNO’s schedule of presentations, board meetings, committee meetings, committee presentations, speaking engagements, and events.
Arranges travel plans for CNO that includes flight, car and hotel reservations that are in alignment with CNO’s preferences. Gathers all receipts, prepares and submits expense reports on behalf of the CNO within 30 days of travel.
Assists with the creation, revision and distribution of various materials, such as those for meetings, PowerPoint presentations and information packets. Takes, transcribes and distributes notes or minutes of meetings, and identifies next steps/actions items and owner.
Prepares routine and advanced correspondence, including but not limited to letters, memoranda, documents, agendas, presentations, bios and reports.
Collaborates with colleagues and other AHA departments in order to complete work effectively. Keeps abreast of organizational activities and the work groups managed by the CNO.
Screens CNO’s telephone calls, emails, physical mail and greets visitors. Maintains CNO’s Outlook contact list.
Documents and implements policies and procedures that ensure the administrative expectations of the CNO are met and identifies opportunities for process improvement.
Performs other duties and assists with projects as assigned by supervisor.
Bachelor's degree in Business Administration or similar
5-7 years experience with a minimum 5 years of senior level executive assistant experience.
Knowledge Requirements: Advanced knowledge of providing executive assistant support functions.
Technical Requirements: Advanced Microsoft Office Suite experience in Outlook, Word, Excel and PowerPoint.
Required Abilities: Ability to exercise sound decision-making and judgments in a variety of situations. Ability to maintain a high level of integrity, professionalism and confidentiality; to foster collaborative communications, working relationships with colleagues, members, and external partners; to handle multiple tasks and prioritize and to take initiative and focus on solutions. Ability to work independently as well as part of a team
